How to chase an unpaid invoice politely

By Mesura Studio. Updated 6 November 2026. 3 min read.

Short answer

Send a friendly reminder as soon as the due date passes, a firmer one about a week later, and call after two weeks. Always include the invoice number, amount, due date and how to pay. Most late payments are simply forgotten, so keep your first message light.

A simple schedule

  1. A few days before it is due: a short, optional heads-up for larger invoices.
  2. On the day after: a friendly reminder.
  3. A week later: a direct message asking for a payment date.
  4. Two weeks later: a phone call.
  5. After that: a formal written notice, following your contract and local rules.

What to write

First reminder: "Hi Anna, invoice 032 for €800 was due yesterday. Could you let me know when it is scheduled? I've attached a copy."

Second reminder: "Hi Anna, invoice 032 is now a week overdue and I haven't seen the payment. Please tell me the date it will be paid by."

How to get paid faster next time

  • Agree on payment terms before you start
  • Take a deposit on larger projects
  • Invoice as soon as the work is delivered
  • Send it to the person who really pays the bills
  • Make a note of every due date, so nothing slips

Late fees and legal steps

Depending on where you work, you may have the right to charge interest or fees on late business payments. Rules differ by country, so check what applies to you or ask an adviser before you take formal action.

Common questions

When should I send a payment reminder?

The day after the due date is a good default. Waiting longer tends to make it more awkward.

Should I keep working if a client has not paid?

That depends on your contract and the relationship. Many freelancers pause new work once a payment is well overdue, after telling the client.

How do I keep track of what is overdue?

Keep one list of invoices with the due date and status, and check it once a week.
